Scope and roles
This Privacy Policy applies to the Rock, Paper, Bid websites, hosted proposal pages, account portals, reminder workflows, and related support or communication channels operated by RockPaperBid.
Different people may interact with the service in different roles. If you are an account owner, user, or administrator using Rock, Paper, Bid for your business, we generally process your information directly to provide the service to you. If you are a customer or lead of a business that uses Rock, Paper, Bid, that business controls much of the information it submits through the platform, and your relationship with that business remains primary.
When we process customer or lead information on behalf of a business using Rock, Paper, Bid, we act primarily as a service provider or processor to that business. Questions about a contractor's proposal, invoice, payment request, reminder, or customer-specific record should usually be directed to that business first.
Information we collect
We may collect the following categories of information:
- Account and profile information: name, email address, login credentials, role, company name, billing details, and subscription status.
- Business and customer workflow information: proposal data, scope details, pricing, templates, line items, attachments, notes, customer names, customer contact details, deposit status, and activity history.
- Usage and device information: IP address, browser type, operating system, timestamps, page interactions, referral data, diagnostic logs, and feature usage.
- Communications information: support requests, emails, replies, status notifications, reminder events, and message-delivery metadata.
- Payment-related information: transaction identifiers, payment status, processor account references, and limited billing metadata received from payment providers. Full payment card details are generally collected and handled by the payment processor, not stored by us.
- Connected payment account information: business contact details, onboarding status, payout account status, account identifiers, capability status, dispute status, verification needs, and other payment-provider information needed to support connected payment accounts.
- Integration and import data: information you choose to connect or upload from companion systems, spreadsheets, or other tools.
We collect information directly from you, automatically through use of the service, from integrations you enable, and from service providers that help us operate the platform.
How we use information
We use information to operate, secure, and improve Rock, Paper, Bid. This includes using information to:
- create and administer accounts and workspaces;
- deliver proposal, payment, reminder, and reporting features;
- authenticate users and prevent fraud, abuse, spam, and security incidents;
- process subscriptions, billing events, payouts, chargebacks, and support requests;
- send transactional notices such as account alerts, customer workflow notices, confirmations, resets, and service updates;
- analyze platform usage, improve reliability, and develop new features; and
- comply with legal obligations and enforce our terms, policies, and agreements.
Customer data and business users
If you use Rock, Paper, Bid for your business, you are responsible for your instructions to us and for your own relationship with your customers, leads, or employees. That includes providing any notices, obtaining consents, and responding to privacy requests that apply to information you submit through the platform.
If you are an end customer of a business using Rock, Paper, Bid and want to access, correct, or delete information contained in that business's records, contact that business first. We may assist our business customer in responding to such requests where appropriate.
Retention
We retain information for as long as reasonably necessary to provide the service, maintain business and tax records, resolve disputes, enforce agreements, prevent fraud, and comply with law. Retention periods vary depending on the type of information, the account status, and whether we need the information for safety, legal, or operational reasons.
Backup copies and residual records may persist for a period of time after deletion requests or account closure.
Security
We use administrative, technical, and organizational measures designed to protect information against unauthorized access, destruction, loss, misuse, or alteration. No system is completely secure, and we cannot guarantee absolute security. You are responsible for using strong credentials, protecting devices, and controlling access to your workspace.
Choices and rights
You can usually access and update certain account information inside the service. You may also contact us to request help with account-access issues, transactional communication questions, or other privacy matters.
Depending on where you live, you may have rights to request access to, correction of, deletion of, or portability of certain personal information, or to object to or limit certain processing. We may need to verify your identity and the scope of the request before responding. Where we process information on behalf of a business customer, we may direct you to that business to handle the request first.
Children
Rock, Paper, Bid is a business-focused service and is not directed to children under 13. We do not knowingly collect personal information directly from children under 13 through a child-directed service. If you believe a child has provided personal information to us inappropriately, contact us and we will review the request.
Changes
We may update this Privacy Policy from time to time to reflect changes in the service, our data practices, or legal requirements. If we make material changes, we may provide notice through the service, by email, or by updating the date at the top of this page.
